Cancellation Policy

ROOTS RENEWED CIC BOOKING POLICY Roots Renewed CIC is pleased to make this facility available to the community. Bookings of the community space must be done through designated staff. All hiring is at the discretion of the Management team of Roots CIC. Any concerns that arise, from a member of Roots CIC, over an organisation or people within an organisation, who wish to hire the hall, should be taken to a member of the Management Team and where necessary should be taken to the Board. The Board will make any final decisions needed. This is to protect the reputation and integrity of Roots CIC. Members of the Management Team may discourage booking of the hall for events which they feel are similar to or compete with Roots hosted activities taking place in Roots already, or any future activities planned by Roots CIC. Exceptions may be made at the discretion of the Board for one off events. Roots CIC will not authorise activities that, in its opinion, are, or appear to be incompatible with Christian principles or the stated values of Roots CIC. Roots CIC will not authorise activities that, in its opinion cause undue nuisance to its neighbours. The Community Space is only available for hire for children’s parties up to the age of 14 years or at the discretion of the Roots Management Team. Roots Community Space is insured against any liability arising out of its own negligence. All users are liable against accidental damage (e.g. breakage of a window) or theft to their own property/belongings which they may use while on the premises. It is the responsibility of the hirer to carry out their own risk assessments. Copies of insurances must be given to the member of staff responsible for the booking. The fee for the hire of the hall must be paid in advance of the event, unless agreed by the person taking the booking. No fees are refundable in the event of a cancellation (except in exceptional circumstances and when agreed by unanimous decision of the Management team). Roots CIC reserves the right to cancel a booking for extraordinary reasons. All users of the community space must fill in a booking form and must also sign the hirer agreement.
